$COST PLANNING

Microsoft 365 licence cost calculator

Pick a Microsoft plan and enter your seat counts to see monthly and annual totals at Microsoft's published list prices, then test an unused-seats what-if and a downgrade what-if. Every price is editable.

Choosing a Microsoft plan pre-fills its Microsoft list price (dated and linked below), which you can overwrite with the price from your own agreement or invoice. List prices exclude tax, partner discounts and agreement pricing, so confirm with your reseller. Shared mailboxes and guests are often not licensed per seat, so enter 0 where you pay nothing. The calculation runs in this browser and nothing is sent or saved.

Microsoft list prices are filled in when you choose a plan.

Rows: type, Microsoft plan, plan name, seats paid for, seats in use, price per seat per month, seats you could downgrade, cheaper Microsoft plan, cheaper plan price
Enter seats, then select Calculate. Prices are pre-filled from Microsoft list prices when you pick a plan.

Seats in use is what you enter; confirm it against real sign-in and usage data before removing any licence (see the article linked below), and check contract terms such as annual commitments and minimum seat counts. Totals are the seat counts and prices above multiplied, not a quote: Microsoft list prices are for annual-commitment subscriptions paid yearly and exclude tax, partner discounts and agreement pricing, so confirm with your reseller.
